Job Description Summary: The Site Clerk plays a vital role in supporting construction project operations by managing administrative tasks, labour and equipment tracking, and site documentation. Working closely with the Senior Site Superintendent, and subcontractors, the Site Clerk ensures accurate scheduling, reporting, and safety compliance. This role also assists with BIM coordination, procurement support, and facilitates communication between the field and office to help keep projects running smoothly and efficiently. What you'll get to do: Project Administration & Coordination Support the Senior Site Superintendent, and Assistant Superintendent with both administrative and field-related tasks to ensure smooth project execution. Update and maintain the project schedule, track progress, and ensure alignment with milestones and deadlines. Coordinate subcontractor activities and participate in job site meetings to ensure alignment with project goals and resolve conflicts in real time. Labour, Equipment & Timekeeping Management Track and record daily labour and equipment usage on-site. Maintain organized records of crew lists, hours worked, and timesheets. Coordinate with field supervisors to verify labour and equipment allocations. Documentation & Reporting Maintain up-to-date shop drawings, RFIs, Change Notices, and as-built documentation. Support project reporting with monthly status reports including cost forecasts, schedule updates, and cash flow tracking. Keep accurate logs to support billing and project documentation. Manage site documentation such as permits, safety records, inspection logs, and drawings. Site Office & Inventory Support Monitor and replenish inventory of office supplies and site stationery. Manage document printing, filing, and distribution; post daily updates and site notices. Serve as point of contact for deliveries, visitors, and access-related issues. Safety & Site Oversight: Assist in maintaining and enforcing site safety protocols, ensuring compliance with all regulations. Coordinate day-to-day site operations to promote a safe and efficient work environment. Conduct quality control inspections and update construction progress records. BIM Coordination & Model Management Support the management and implementation of 3D models and clash detection processes. Participate in BIM coordination meetings and collaborate with design consultants and subcontractors to resolve issues and optimize project execution. Procurement & Financial Coordination Assist in preparing Purchase Orders (POs), process billing approvals, and coordinate with the Project Accountant for timely payments. Communication & Team Support Act as liaison between field teams, subcontractors, and head office for administrative support. Provide general administrative assistance to the site team and ensure all reporting requirements are met. Who you are: Degree and/or diploma in Construction, Business, or a related field Proven expertise in people management, fostering strong teams and driving performance. Exceptional time management skills, able to prioritize and meet tight deadlines with ease. In-depth knowledge of high-rise project architectural and engineering drawings. Foresight to anticipate and resolve potential issues before they escalate. Advanced knowledge of various construction disciplines, safety regulations, scheduling, cost control, quality control, engineering drawings and other documents. Knowledge of Tarion guidelines. Certified in Health and Safety protocols (WHMIS, Working at Heights, Basics to Supervision) Proven ability to take responsibility, engage with stakeholders, and communicate effectively across team Enthusiasm for challenging and new initiatives.
