Canadian Blood Services is an essential part of the country’s network of healthcare systems. Together, with donors, recipients, employees, partners and volunteers, Canadian Blood Services is Canada’s Lifeline, providing lifesaving products and services in transfusion and transplantation for Canadian patients, and safeguarding Canada's systems of life essentials in blood, plasma, stem cells, and organs and tissues.Canadian Blood Services (CBS) is seeking an experienced leader to be its Associate Director, Enterprise Facility Strategic and Capital Planning. In this critical role, the Associate Director will drive the Enterprise Facility Asset Strategic plan by leading the development of the enterprise facility portfolio and capital plan. They will oversee CBS Physical Infrastructure capital and master planning, provide crucial support for capital planning initiatives, develop business cases and plans, ensure strategic alignment across CBS divisions and strategies, and foster relationships with both internal and external stakeholders. The Associate Director also oversees the effective management of assigned personnel and external consultants, including those in management roles, ensuring alignment with the overarching goals of Corporate and Financial Services. Furthermore, this position serves as a key facilitator in developing strong inter-departmental and intra-divisional relationships on a national scale. In summary, this role will ensure that the physical footprint of CBS continually evolves to best serve donors, patients, and health systems across Canada.As an ideal candidate you bring post-secondary level education in a relevant discipline and possess a minimum of 10 years of progressive experience in facility planning and development in a complex government or highly regulated environments. Previous experience working in a regulated environment would be considered an asset. You also have a minimum of 10 years of progressive managerial experience in facility planning and capital management in a complex multi-site environment and have in-depth knowledge of facility asset planning and alignment to environmental sustainability practices. You also have knowledge and experience in program and project management and have a demonstrated ability to lead and manage change. You are known for your excellent interpersonal skills, your ability to influence, and your effective team building and leadership skills. About the Opportunity
The Senior Administrative Assistant, Leadership Team (SAA), is a key member of the Pathways Alliance team. Supporting the entire Pathways Leadership Team, the SAA will report directly to the President. The Leadership Team includes the President, Executive Chair and four Vice Presidents.
We are seeking a dedicated and experienced individual to join our team. The role requires someone with a track record of consistently providing excellent, proactive administrative support to senior leaders. The successful candidate will have the demonstrated ability to show initiative, act with discretion, provide support to the broader organization and be highly professional. This role requires a true team player who brings a collaborative approach, excellent communication skills and the ability to stay organized in a fast-paced environment with multiple priorities and demands.
Key Responsibilities
Administrative Support
- Provide administrative support to the Leadership Team:
- Manage calendars
- Prepare expense reports
- Book travel and manage the relationship with the organization’s designated travel agency
- Prepare, proof, edit, format and distribute correspondence, documents, presentations and spreadsheets; a high level of proficiency across the Microsoft Office suite is required
- Manage files and folders in SharePoint libraries
- Support gathering and submitting lobbying records to external counsel
- Track and update corporate and committee organization charts and distribution lists
Meetings and Events
- Provide meeting support for the Leadership Team, e.g., coordinate and schedule meetings; ensure meeting participants have required information and materials
- Coordinate and schedule meetings for Pathways committees and other stakeholders, e.g., booking conference rooms and AV equipment, arranging catering and other logistics as required
- Provide support, as required, for planning, organizing and executing internal and external events
Office Management
- Assist with controlling access to the office; greet and direct external visitors professionally
- Assist with maintaining required office and kitchen supplies
- Support and collaboratively work with the Director of Corporate Services on other office facility related matters

Education and Experience
- Post-secondary diploma or degree in a related field
- A minimum of 10 years of relevant experience; oil sands sector experience is desirable but not required
- Demonstrated experience providing direct support to a senior leader or leadership team; ideally with experience effectively supporting multiple individuals
- Excellent/expert Microsoft (M365) skills, including the use of Word, PowerPoint, Excel, SharePoint, Outlook and Teams. The ability to effectively use MS Copilot is a plus
